What you'll be doing:

* Performs administrative functions for the Health, Safety & Environmental Compliance (HSEC) department. Creates, prepares, copies, files or obtains documents, correspondence, agendas, background materials, minutes for meetings, Board of Director meeting agendas, department staff reports, and other duties as necessary



* Reviews and proofreads documents, forms and reports, for accuracy and completeness; creates and edits Department e-forms. Coordinates with other departments and follows established guidelines to oversee the reprographic processing of items, through the final step of distribution.



* Provides logistical support for ongoing and upcoming projects in the HSEC department, such as printing rosters, generating reports, administration of medical/health programs, and other department sponsored programs.



* Maintains confidential and interrelated filing systems; maintains compliance-related documentation, files, and tracking for all OCTA employees, as well as training materials, audit documentation, and procedural manuals. Interacts with medical clinics for regulatory required employee monitoring and record keeping.



* Establishes and maintains computerized training attendance history for all employees in the Learning Management System (LMS).



* Creates and manages marketing materials for the HSEC department (includes creating posters/ and maintaining department website.



* Researches and documents issues for department (such as documenting lessons learned, compiling return on investment data, analyzing needs assessment data, bench marking programs, and other related assignments).



* Provides logistical coordination and organizes agency-wide meetings, special events, and training's, including scheduling, room set up, and training materials.



* Assists in the preparation of departmental budgets; monitors expenditures; records and tracks department contracts and invoices and enters purchase requisitions into the purchasing software



* Conducts a variety of department-related special assignments involving analysis, research, data compilation, and report preparation of activities.



Who were looking for:

* Any combination of education and experience equivalent to a high school diploma with a minimum of six years of experience, a majority of which is in this area of expertise. Related education preferred.



* Knowledge of Transit Industry Required



* Microsoft Office Proficient (Excel, Outlook, Word) Required



* Able to pass Background and Drug Screen Required



* Must be Fully Covid-19 Vaccinated NO EXCEPTIONS
