Job Description

Purchasing/Customer Service Administrative Assistant

Schedule: Monday-Friday 7am-3:30pm

Location: Livermore

Pay: $21 or DOE



Customer Service Essential Duties:

* Develop systems and checklists to properly accomplish track and organize tasks.

* Maintain records of client accounts and contacts.

* Responsible for tracking and receiving orders, entering order data into accounting system, reconciling accounting data against related documentation, communicating with managers regarding order status and delivery.

* Receive packages sign packing slips and scan into order tracking system.

* Match packing slips to vendor invoices and customer invoices.

* Verify costs match Purchase Orders rendered to vendors

* Communicate order status and delivery to customers when direct shipped.

* Maintain relationships with multiple vendors including ongoing efforts to negotiate best pricing and service among those vendors. * Track purchase orders placed by the Purchasing Manager.

* Provide first line phone answering for any customer service questions.

* Gather details from customer and follow up once information is gathered.

* Filing, receiving mail and packages, printing checks, mailing letters, coping and faxing.



Requirements:

Pre-employment screenings.

High School diploma or GED

Three to five years of general administration experience.

Experience or exposure to purchasing, and customer service.
