    Document Governance Specialist

    Job Summary
    The Document Governance Specialist reports to the Document Governance Manager and is critical to the successful deployment of the companies written communications. The position is responsible for working with business analysts and business groups to define and document letter technical specs and serves as a liaison between the business and technical staff. Successful job execution also requires interaction with other departments, business analysts, and other general staff. Therefore, the ideal candidate must have a proven track record for teaming effectively across multi-functional groups and possess proficient written and verbal communication skills.

    Essential Functions
    * Evaluate business or compliance letter needs and clearly document it to meet the need, intent, rules and standards.
    * Ensure that letter specifications can be programmed by Technology as designed.
    * Acts as liaison with other departments and coordinates work flow with them as needed.
    * Participates in projects to improve automation and efficiency of department.

    General Skills & Abilities
    * Ability to think outside of the box and creatively solution.
    * Process and project management skills required.

    Duties include:
    * Painting and texturing walls
    * Fixing water leaks and plumbing
    * Installing flooring which includes carpet, tile and laminate
    * Fixing minor electrical issues
    * Minor carpentry work
    * Troubleshooting boiler and water heater
    * Other repairs as they arise
    Applicants must have a reliable and licensed vehicle and be able to haul own tools and supplies. Gas allowance is issued daily and paid out bi-weekly on check.
    Hours for this position are 8:30 am to 5:00 pm. Schedule rotation for evening and weekend on-call hours occur one week per month.

    New Jersey based property management and development firm is looking for talented staff to join its growing company. We have an exceptional opportunity for an experienced Commercial Facility Operations Manager to oversee the portfolio of shopping centers and office buildings throughout New Jersey. This dynamic person will enhance asset values and tenant satisfaction by proactively controlling the building facilities and property operations of the portfolio, including overseeing all new projects supporting that process.

    This position reports to the Director of Commercial Operations.

    Responsibilities:

    1. Provides portfolio wide leadership in the planning, development and implementation of preventative maintenance programs, including the installation of new, and modification of existing building facilities and mechanical support systems.
    2. Directs the in house maintenance team through daily and scheduled periodical maintenance/operations activities.
    3. Directs contractors through specific facility repairs and upgrades and preventative maintenance activities.
    4. Supports property management workflow and interacts with internal and external suppliers on the evaluation and cost effective purchase of materials for on-site mechanical upgrades and repair projects.
    5. Prepares scope of work specifications, compiles contractor bids, makes data driven recommendations and assists in the negotiation of vendor contracts.
    6. Interacts with tenants as required, interfaces with third party tenant contractors accessing property facilities and utility systems.
    7. Oversees the management of equipment inventory and storage systems.
    8. Prepares customary operating reports and site inspections; scheduled or as needed.
    9. Maintains a system of records for completed projects & regular maintenance. Oversees sub-metering and billing for properties.
    10. Ensures that property facilities are compliant with all regulatory requirements.
    11. Ensures the availability and accuracy of existing property plans and specifications for projects and new equipment.
    12. Property contact for outside engineering consultants, working knowledge of property site and MEP plans, a plus!

    Qualifications:

    1. Possess a high level of professionalism, with an inherent ability to identify and resolve operational issues in a decisive and timely manner.
    2. Candidates should possess 7 - 10 years of experience in a commercial property/facilities management environment with a minimum three (3) years' experience in supervision of staff.
    3. Working knowledge of building support and mechanical systems, including the establishment of preventative maintenance programs
    4. Directs the in house maintenance team through daily and scheduled periodical maintenance/operations activities.
    5. Experience in a Shopping Center or Retail real estate environment strongly preferred.
    6. Strong leader and communicator that can motivate team members, through
    refined verbal and written communication skills.
    7. Proficiency in Microsoft Word, Excel and Outlook; knowledge of real estate property management software (RealPage, Yardi, etc.) a plus!
    8. College or Vocational/Technical equivalent degree required.
