AIG Executive Administrative Assistant

Job Description:

* The Sr. Administrative Assistant is a vital position whose main responsibility is to make the office as productive as possible.

* This person must be a highly polished professional with excellent interpersonal skills and a sense of urgency to get things done now.

* This role will interact with all levels of employees and all departments in various situations and must be courteous and respectful to all.

* The position will provide administrative support to the Fort Worth site as well as to the other admins within our organization, who will require general administrative assistance as well as analysis, reporting, and tracking of various events and activities.

Specific duties include -


Calendar maintenance, which include managing conference room scheduling for the site and can involve other company executives or vendor executives

* Making and or changing travel arrangements sometimes on extremely short notice

* Managing confidential, time-sensitive internal and external communications

* Composition of clear written communications from ideas and concepts as articulated by the executive

* Basic understanding and analysis of critical and confidential information which can then be input into Excel spreadsheets,

* PowerPoint presentations, SharePoint, etc.

* Taking detailed phone messages, in-person requests, etc., and relaying them in a timely manner

* Doing preliminary leg-work to facilitate executive's decision making

* Other similar Senior Assistant activities including catering, ordering office supplies, site items, etc.

Job Requirements:

We are a Global Corporation with offices around the world, so experience in a large, global company is highly desired.

The ideal candidate will have at least 5 years of experience as an Administrative Assistant at the

Executive level (VP or above).

Experience with Microsoft Office, Travel and Expense processing, and Calendar scheduling is required.

The ability to prioritize while working both independently and collaboratively is critical.

Must be proficient in Excel and be able to create and work with spreadsheets (create basic formulas, input data, etc.)

Must be proficient in PowerPoint and be able to create presentations, create and update slides, import spreadsheets,

images, etc.

Must be a self-starter, possess proven ability to work effectively at the most senior level within an organization, have excellent customer service skills, and be able to deal effectively with confidential information.

Experience supporting Leaders in IT roles is a plus, but not required.

Experience Preferred: 3 - 5 Years

Education Preferred: High School Diploma
