Job Description

Commercial Property Manager - Charleston WV

Direct Hire

Job Duties:

* Answers main office phone and orders office supplies as necessary.

* Maintains and updates tenant, vendor, and building staff contact lists.

* Sends out communication to all tenants as needed.

* Creates, organizes, and maintains vendor, tenant and lease files.

* Schedules and Coordinates the reservations/set-up for the Building Conference Room.

* Handles tenant maintenance requests/work order calls by creating a work order and forwarding it to the appropriate maintenance personnel/engineer/vendor, following up on the status of the work order, and closing out completed work orders.

* Responsible for assisting new tenants in the setup of their work order system account through Angus software.

* Responsible for daily tenant relations, providing guidance/information as needed, and thoroughly understanding any needs, inquiries, or concerns.

* Responsible for editing, updating, and distributing building handbook, policies, procedures, staff changes, etc. and ensuring tenant compliance.

* Requests, tracks, and maintains all tenant, vendor, and contractors' Certificates of Insurance (COI) and W-9's to ensure they are current and in compliance with building requirements.

* Handles new tenant move-ins (i.e. keys, signage, distributing tenant handbook and building policies, providing tenant with Contractors request form for them to schedule any work/deliveries, coordinating movers/freight elevator & loading dock use, requesting contractors' COI, etc.).

* Responsible for monthly tenant bill-backs (i.e. maintenance services, overtime HVAC, etc.) to be reviewed by Property Manager and sent to Accounts Receivable for monthly rental statement.

* Reviews aged delinquencies and ensures proper communication and follow-up with tenants to insure receipt of payment. Assists the Property Manager in preparing the monthly aged delinquency reports.

* Coordinates tenant evacuations/fire drills, tenant council meetings, and tenant/building events.

* Schedules service calls as needed with vendors.

* Assists the Property Manager with the review, approval, and coding of vendor invoices and preparation of the periodic Check Run Requests.

* Deals with vendors of contracted services (i.e. janitorial, landscaping, etc.) as designated by Property Manager to insure that the services are being rendered satisfactorily and billed accordingly.

* Assists the Property Manager with obtaining proposals from vendors for repairs/maintenance projects and writing the Service Agreement.

* Assists the Property Manager in reviewing and updating the monthly/quarterly Variance Reports and Executive Summary for the Ownership Reports.

* Other duties as assigned to perform full property management services to the building, the Tenants and the vendors.


* A.S. Degree in Business Management or relevant education and experience of 3-5 years.

* Must be willing to submit and meet the requirements of a pre-employment background and drug screen.

* Must have a valid driver's license; MVR report will be performed.
