Job Description

General
 Collaborate with the internal team, and external consultants, in the promotion and elevation of the company brand and reputation.
 Take an active role in the company Lead Generation Program.
 Recognize and comply with accounting standards and procedures and applicable laws, rules, regulations, and codes.
 Provide general support to the Project Management, Design, and Estimating groups.
 Perform general administrative duties including answering phones, opening and routing incoming mail and faxes, post outgoing mail and packages.
Accounts Payable
 Receive all invoices and route for approvals as required.
 Enter invoice data in accounting system.
 Verify statutorily correct sales tax treatment for all invoices received.
 Process payments to vendors and subcontractors.
 Track applicable compliance documents to ensure receipt of required documents prior to payment.
 Reconcile vendor statements with accounts payable history.
 File invoice approval and paid invoices according to established procedures.
Contract Administration
 Assist the Project Management team with the generation of Owner Contracts.
 Generate and distribute subcontractor and vendor contracts and purchase orders.
 Generate and distribute owner, subcontractor and vendor change orders.
 Manage subcontractor certificates of insurance.
 Create and update project directory and superintendent reference binder throughout each project.
 Manage project close-out activities on a timely basis.

SKILLS, KNOWLEDGE, QUALIFICATIONS & EXPERIENCE:
 Associate Degree in accounting or related field with construction related experience preferred.
 Attention to detail is critical
 Excellent organizational skills and effective verbal and written communication skills essential.
 Must be proficient in data entry providing error-free work.
 Proficiency in Microsoft Office – primarily Word and Excel.
 Ability to balance priorities in a multi-task environment.
 Tact and ability to work effectively with colleagues, subcontractors, and clients.
