Job Description

Executive Receptionist needed!



Location: downtown Toronto

Required availability: Dec 13-15th & Dec 20-22nd

Shift: 8.30 am - 4.30 pm

Pay rate: 18/h



REQUIREMENTS:



* Two+ years experience as an administrative assistant/receptionist required

* Demonstrated professionalism, tact, diplomacy and discretion.

* Great communication and computer skills

* Ability to work in a fast paced team environment



KEY ACCOUNTABILITIES:



* Manage reception area by greeting and meeting visitors and answering phone calls, providing information, and referring visitors/callers to appropriate meeting host and individuals. Answer telephone calls in a professional manner and provide information and/or redirect the caller to the appropriate department. Take and convey messages either via phone or email.

* Provide prompt, accurate and courteous turnaround on requests

* Act as interface in dealing with customers and personnel as a receptionist by greeting visiting clients, offering them refreshments and directing them to the appropriate meeting room. Contact the visiting party via phone or email to notify them that their guest has arrived.

* Receive meeting requests and ensure necessary parties are notified to fulfill meeting requirements i.e. any audio-visual requirements, contact team EA for unique setups, etc. Provide chilled water or other refreshments to external guests.

* Arrange for set-up of complex meetings with requestor and team EA ensuring all details and arrangements are handled and monitored

* Receive catered food orders from freight elevator access and ensure proper provision to meeting

* Receive incoming mail/parcels when mailroom clerk is out on a delivery.

* Spare Access Cards administrator. Ensure compliance and audit processes are followed and maintained

* Interface with clients, senior management and Corporate Services professionals and their assistants

* Other duties as required
